10 Tips To Build Rapport With Your PT Clients

Creating meaningful relationships with your clients is one of the best qualities a PT can have.   

If you can build that rapport, clients will be much more likely to trust your ways of working.  

They’ll be more likely to stick to the program you’ve designed for them.  

And they’ll be more likely to leave a glowing review so you attract more new clients.  

It’s not always easy to build strong relationships, but these 10 tips should give you a helping hand if you want to keep your clients motivated and engaged right from day one… 

1. Understand your client's ‘why’  

Understanding the deeper motivations behind why your clients are working with you is crucial. It’s not just about losing weight or gaining muscle; there’s always a deeper and more profound reason driving their goals. Maybe they want to feel sharper to play with their kids or they’re looking to start a new relationship. During your consultations, ask open-ended questions to uncover these motivations. Knowing their "why" allows you to tailor your approach and keep them inspired, creating a more meaningful and effective training experience. When clients see that you’re invested in their deeper goals, they’re more likely to stay committed and appreciative of your support. 

2. Focus on your body language  

Your body language speaks volumes and can influence how your clients perceive you. Remember, your clients are real people, not just names in your schedule. Maintaining eye contact, nodding in agreement, and leaning slightly forward while listening shows you’re engaged and genuinely interested in what they have to say. Avoid crossing your arms and looking at your watch or phone. It can convey disinterest or impatience. By using positive, open body language, you make your clients feel valued, respected, and understood. This approach fosters a deeper connection and trust, helping you build a strong, supportive relationship where clients feel comfortable sharing their thoughts, goals, and concerns.  

3. Be completely honest 

Honesty is crucial in building a trustworthy and effective trainer-client relationship. Always be transparent about their progress, providing realistic assessments rather than simply telling clients what they want to hear. If they’re not meeting their goals or if adjustments are needed, it’s important to communicate this openly. Clients value trainers who are straightforward and honest, even if the feedback is difficult. By offering clear, truthful insights, you help them understand where they stand and what they need to do to improve. This honesty fosters respect and trust, as clients appreciate a trainer who prioritises their genuine well-being over being a 'yes-man.'  

4. Make your consultation memorable  

First impressions matter. Make your initial consultation memorable by being attentive, and professional. Offer a warm welcome that makes clients feel at ease from the start. Ask insightful questions that dig deeper into their goals and concerns, showing genuine interest in what they’re looking to achieve. Listen actively and empathetically, reflecting on their responses to ensure they feel heard and understood. A standout consultation not only sets a positive tone for your future sessions but also demonstrates your commitment and expertise. By making this initial meeting impactful, you lay the foundation for a strong, trust-based relationship.  

5. Show empathy and emotional understanding  

If your client appears demotivated or is struggling, it’s vital to address this with empathy and emotional understanding. Use common sense and ask gentle, open-ended questions to uncover what’s going on in their life. They might be dealing with stress, personal issues, or just feeling overwhelmed. Acknowledge their feelings and offer support, whether that’s adjusting the workout to suit their current state or just listening and providing encouragement. Demonstrating empathy not only helps your clients feel valued and understood, but it also strengthens your relationship, making them more likely to stay on the right path. 

6. Use examples of client success stories 

Sharing success stories from previous clients can be incredibly motivating and reassuring for new clients. When they see tangible evidence of your expertise and the results you’ve helped others achieve, they’ll be more confident in your abilities. Tailor these stories to align with their goals, showing them a clear path to success under your guidance. 

7. Continue your education  

Everyone wants peace of mind that their trainer is an expert right at the very top of their game. So, for your sake and for theirs, keep on learning. Aim to master your craft. Attend workshops, read the latest research, and stay informed about new fitness trends. Consider earning additional certifications to broaden your expertise. When clients see your dedication to being the best in your field, they’ll have greater confidence in your ability to help them. That dedication won’t go unnoticed and can set you apart as a professional who is passionate about delivering the highest quality service. 

8. Be consistent and reliable 

Again, this point probably isn’t anything new to you. Nor is it complicated. However, consistency and reliability are fundamental to building trust and credibility with your clients. Always show up on time for every session. Punctuality demonstrates respect for your clients' time. Stick to your promises, whether they pertain to workout plans, follow-up messages, or personalised feedback. Being prepared with a well-thought-out plan for each workout session shows that you are invested in their progress and have a clear path to help them achieve their goals. When clients perceive you as dependable, they’ll feel more secure in their investment and more committed to their fitness journey with you. This consistency not only builds trust but also helps establish a professional relationship where clients feel supported and valued.  

9. Celebrate their achievements  

Recognising and celebrating your clients’ achievements, no matter how small, is crucial for building a strong and supportive relationship. Whether they hit a personal best or lose a few pounds, acknowledging these milestones shows that you’re genuinely invested in their success. This positive reinforcement is a powerful motivator, lifting their confidence and encouraging them to keep pushing onwards. Take the time to highlight their progress during sessions, send encouraging messages, or even celebrate with small rewards or shout-outs on social media (with their permission).  

10. Find common ground 

Finding common ground with your clients is a powerful way to build rapport. This doesn't mean you have to share all their interests, because at the end of the day you’re their trainer, not their friend. However, showing genuine curiosity about their hobbies, work, or family life can create a strong connection. When clients feel you understand and share their interests, they’re more likely to trust you and be open to your guidance. This trust is the foundation of a successful trainer-client relationship.
